Available only in the admin panel
1. Navigate to Circles
2. Click USAGE STATISTICS at the top right of the Circles Overview screen
3. Type in the period which you’d like the statistics for or click Calendar icon to select the required dates
4. Select the required type of the report:
a. Executive Usage - represents only the relevant info for the Executive View
b. Basic Usage Statistics – the report represents all the statistics on the current clients/real funders and test funders created for testing or demo purposes
с. Show Raw data is designed for our dev team to dive deeper into the statistics
5. Click EXPORT STATISTICS
Feel free to move to any other tab if required. When the report is ready, you’ll see a notification banner at the top of the page.
Clicking VIEW on the banner will take you directly to the Reports tab where you can find your report at the top of the reports list and download it.
You can click CLOSE on the banner to close it and access your report later.
All the Reports are stored in the Reports tab.
There’s a table where you can find the details of your report:
*The time is displayed according to the user's local time set on the device
Click the arrow near the required column to put the items in the ascending / descending order.
Initially, the sorting is applied only to the visible results (about 25 items). To see the whole list, scroll down the page in order to load the rest (missing) items and then sort them.

To get the latest data in the report, re-export it on the Circle’s detail page.

3. Click DOWNLOAD next to the required report to download it on your device in the .xsls format
There are four tabs in the Usage statistics report:
Each tab contains the specific information/statistics relevant for the given sphere.
This tab includes all the Circles created in inCytes
● TOTAL - contains the total information for each column
Please be aware: if the filtering period is more than two months, the data in the report can be duplicated
● The period you selected
● Circles - the titles of all the Circles
● Funder - the Funder who is in charge of funding the Circle* in the selected period. Funder pays for:
● Circle Creation Date
● Circle Funding Started - the date when the Circle became funded by the current Funder
● Circle Subscription Expiration - the date when the Circle stops being funded=equal to the subscription expiration date on the Circle Detail page
After the Circle Subscription expires, all the members funded by the Circle will lose access to the platform
● Monthly Cases Creation Rate - the ACTUAL sum of the Cases Creation Rate of all Circle members in this Circle for the selected period
● Cases Pre-Paid - the number of prepaid cases = the number of cases allocated in the Manage Plan modal
● Total Cases Used - the total number of cases (including archived) created for the whole period for this Circle
● Cases Credit - cases created subtract cases pre-paid (cases created – prepaid cases=cases credit)
● Total Cases Archived - the total number of cases archived for the whole funding period
● Cases Funded - the number of cases created for the Circle for the selected period
● Cases Archived - the number of cases archived for the selected period
● Last Case Created - the date of creation of the last case in this Circle
● Patient Registration emails sent - the number of registration emails sent to the patients for the selected period
● Patients completed registration - the number of patients completed their onboarding during the selected period
The number of patient registration emails sent is not equal to the number of patients completed registration since there are patients who register via QR code and don't receive any registration emails. And patients registered via email can receive more than one invitational email.
● Total Patient Registration emails sent - the total number of registration emails sent for the whole funding period
● Total Patients completed registration - the total number of patients completed their onboarding
● Reminders Sent - the number of survey reminders sent for the selected period
● Total Reminders sent - the total number of survey reminders sent for all Circle patients during the whole funded period
● Successfully sent SMS* - the number of sent SMS with status “Success” (received by patients) for the selected period
● Chargeable failed SMS - the number of “Failed charged” SMS sent (SMS not received by patients but charged by AWS)
● Not chargeable SMS - the number of “Failed uncharged” SMS (SMS have status “Failed” and were not charged by AWS)
● Total chargeable SMS sent - the number of registration SMS and SMS survey reminders charged by AWS (both: successful and failed) for the selected period
● Subscriptions Pre-Paid - the number of prepaid subscriptions= the number of subscriptions allocated in the Manage Plan modal for the Clients with prepaid payment plan
● Total Subscriptions Used - the total number of funded subscribers from the Circle foundation (even if some of them were removed or stopped to be funded!!)
*Users with status Pending are also included
● Subscriptions Credit - subscriptions created subtract subscriptions pre-paid (subscriptions created – prepaid subscriptions = subscriptions credit)
● Subscriptions funded - reflects the actual number of funded users for the selected period
● Last Funded Subscriber Joined - the date when the last funded subscriber (Circle member) joined the Circle
● Last Circle Member Joined - the date when the last Circle member joined the Circle
There’s a one-day delay in SMS statistics display, since AWS provides data once a day for the past period. Thus, at the moment of downloading the Usage statistics report, you’ll have yesterday’s data for SMS sent.
So, to upload the actual data for the required period, download the report on the next day after the last day of the required period.
Only subscribers with active subscription included. Team members or Service Providers without subscription are NOT included.
Please be aware: if the filtering period is more than two months, the data in the report can be duplicated.

● Subscription Assigned - the date when subscription was assigned
● Subscription Expiration - the date when subscription expires
● Subscription Status (active/ expired)
● Last Login - the date of the last login of the subscriber
● Status - subscriber’s status (active*/inactive)
*Subscriber is considered an “active” user if they logged in to the app during last 3 months
● Last Case Created - The date of the last case created by this subscriber /his team member / self-enrolled patient)
● Active Circles Membership - the number of Circles the subscriber is a member of
● Monthly Cases Creation Rate - the ACTUAL sum of the Cases Creation Rate of THIS Circle member in ALL the Circles he participated during the period of filtering
● Total Cases Created - the total number of cases created by the subscriber for the whole period (all the cases where the subscriber is the owner)
● Total Cases Archived - the total number of cases archived by the subscriber or his team member for the whole period
● Cases Created for Period - the number of cases created during the selected period
● Cases Archived for Period - the number of cases archived during the selected period
● Patient Registration emails sent - the number of registration emails sent to the patients for the selected period
● Patients completed registration - the number of patients completed their onboarding during the selected period
● Total Patient Registration emails sent - the total number of registration emails sent
● Total Patients completed registration - the total number of patients completed their onboarding
The number of patient registration emails sent is not equal to the number of patients completed registration since there are patients who register via QR code and don't receive any registration emails. And patients registered via email can receive more than one invitational email.
● Reminders Sent - the number of survey reminders sent for the selected period
● Total Reminders sent - the total number of survey reminders sent
● Successfully sent SMS (Patient) - the number of all SMS sent to the patients for the period (Registration SMS and SMS Survey Reminders)
*All cases where the subscriber is defined as a Case creator get into the statistics
● Chargeable failed* SMS (Patient)- the number of failed, but charged by AWS Registration SMS and SMS Survey Reminders
● Not chargeable SMS* (Patient)- the number of failed, not charged by AWS Registration SMS and SMS Survey Reminders
● Total chargeable SMS sent (Patient) - the total number of Registration SMS and SMS Survey Reminders charged by AWS (both: successful and failed)
*All cases where the subscriber is defined as a Case creator get into the statistics
● Team Members for Period - the number of team members joined for the selected period
● Chargeable SMS sent (Patient 2FA) - the number of Patient 2FA SMS with statuses “Success” and “Failed but charged”
● Chargeable SMS sent (Team 2FA) - the number of Team 2FA SMS with statuses “Success” and “Failed but charged”
● Team Members - the number of subscriber's team members during the selected period, including
● Last Team Member Joined - the date when the last team member was invited to the subscriber’s team during the selected period or earlier
● Registration Date - the date of the subscriber’s registration
● Language - subscriber’s language setting of the platform
● PI Setting - the country selected as PI data storage for subscriber and his team members
The statistics includes:
This tab includes the list of ALL Funders: active and archived
● Funder - funder’s name
● TOTAL - presents the total information for each column
● The period you selected
● Subscriptions funded - the number of assigned subscriptions, including the active and pending funded users (Team members are not included, only Subscribers!!) for the selected period
● Subscriptions $ - the cost of one subscription
● Total Subscriptions funded - the total number of assigned subscriptions, including the active and pending funded users (Team members are not included, only Subscribers!!)
● Team Members funded - the number of team members funded during the selected period, including
● Monthly Cases Creation Rate - the ACTUAL sum of the Cases Creation Rate of all Circle members through all the Circles the Funder funds for the selected period (in the format ‘Cases used, [Month Year]’ )
● Team Members $ - the cost of all team members for the selected period
● Total Team Members funded - the total number of Team members funded during ALL billing periods, including
● Cases funded - the number of cases funded by the Funder either via the Circle or via the Subscription for the selected period
● Cases $ - the cost of created cases for the selected period
● Cases archived - the number of cases funded by the Funder either via the Circle or via the Subscription AND got archived during the filtered period
● Total Cases sponsored(funded) - the total number of cases funded by the Funder either via the Circle or via the Subscription for the whole period of funding
● Total Cases archived - the total number of cases funded by the Funder either via the Circle or via the Subscription AND got archived during the whole period
● SMS Funded (Patient) - the number of successful and failed Registration SMS and SMS Survey Reminders sent to the patients for the selected period and charged by AWS
ONLY SMS for the cases funded by the funder either via the Circle or via the Subscription during the filtered period
● Patient AWS SMS Fees $ - the sum that AWS charged for "Successful” and “Failed charged” Registration SMS and SMS Survey Reminders sent through all the countries for all the funder’s cases for the selected period
● Total Patient AWS SMS Fees $ - the sum that AWS charges for SMS sent through all the counties for the funder’s cases for the whole period
● SMS Funded (Patient 2FA) - the number of 2FA SMS with status “Success” and “Failed charged” sent to the Patients for cases funded by the funder either via the Circle or via the Subscription during the filtered period
● SMS funded (Team 2FA) - the number of Team* 2FA SMS with status “Success” and “Failed charged” sent for the period of filtering
*The Team includes the subscriber and his team members using 2FA, thus this statistics includes the total 2FA SMS sent to all of them
● Patient 2FA AWS SMS Fees $ - the sum AMS charges for SMS (with status “Success” and “Failed charged” ) sent through all the counties for the funder’s cases for the period of filtering
● Team 2FA AWS SMS Fees $ - the sum AWS charges for SMS sent through all the countries for the funder’s cases for the period of filtering
● Total Patient 2FA AWS SMS Fees $ - the sum AMS charges for SMS sent through all the countries for the funder’s cases for the whole period
● Total Team 2FA AWS SMS Fees $ - the sum AMS charges for SMS sent through all the countries for the funder’s cases for the whole period
● TOTAL - presents the total information for each separate column

● Not chargeable SMS (Patient) - the number of SMS which were sent but not received by patients for some reasons and were not charged by AWS
● Total chargeable SMS sent (Patient) - the total number of SMS charged by AWS (both: “Successful” and “Failed charged”) for the whole period
● Total parts - the total number of SMS parts sent
● Patient AWS SMS Fees $ - the sum* AWS charged for SMS sent
*Includes the SMS with status “Success” and “Failed charged”
● Total Patient AWS SMS Fees $ - the total sum that AWS charges for SMS sent for the whole period
● Total Successful SMS (for Patient) - the total number of successful Patient Registration SMS and SMS Survey Reminders charged by AWS
● Total chargeable failed SMS (for Patient) - the total number of "Failed charged by AWS” Registration SMS and SMS Survey Reminders
● Total not chargeable SMS (for Patient) - the total number of “Failed not charged” Registration SMS and SMS Survey Reminders
● SMS Funded (Patient 2FA) - the number of Patient 2FA SMS sent for the filtering period
● SMS funded (Team 2FA) - the number of Team 2FA SMS sent for the filtering period
● Patient 2FA AWS SMS Fees $ - the sum AWS charges for “Successful” and “Failed charged” Patient 2FA SMS
● Team 2FA AWS SMS Fees $ - the sum AWS charges for “Successful” and “Failed charged” Team 2FA SMS
● Total Patient 2FA AWS SMS Fees $ - the sum AWS charges for Patient 2FA SMS sent for the whole period
● Total Team 2FA AWS SMS Fees $ - the sum AWS charges for Team 2FA SMS for the whole period
The total of email reminders and SMS sent before the March, 31 can be not counted properly, i.e. not all the reminders and SMS can be included into the statistics. The properly counted statistics will be displayed only when the starting date of the filtering period is April, 1, 2022.
