Time Zones

As inCytes™ administrator we have an ability to define a time zone for any separate investigator. To access the option:

  1. Navigate to Subscribers
  2. Open the required subscriber's profile
  3. Click EDIT

That time zone is used for sending:

  • patient-oriented emails (registration and survey due reminders);
  • patient-oriented SMS (survey due reminders).

For now, we have three options here:

  • USA (UTC-6)
  • Europe (UTC+2)
  • Asia (UTC+8)

Most closest time zone is being assigned to each investigator during their sign up process. All previously registered investigators were assigned to USA (UTC-6).

Note: Team member has the same time zone as the subscriber
Retrospective cases crated on behalf of Investigators from different time zone should be created with local time being preconfigured on device to match that time zone.
On Windows, it's Settings > Date & Time > Time zone.
On iOS, it's Apple menu  > System Preferences, then click Date & Time.

Examples below provide more detailed information on different scenarios. Changes are noticeable when commencement date is more than 1 day.

first survey due = 0 days;
clinician and patient are in the same time zone;
Case creation time is 8 AM local time today (Mar, 10th) for each of the time zones (3 different cases).

Result:
All emails, SMS and due Benchmarc messages will be sent immediately (possible delay is ~10-15 minutes).

The same algorithm works when the commencement date is any date in the past.

Patient Survey Availability

Survey availability is based on patient’s local time. When clinician and patient are in the same time zone, there is no delay in survey availability. See examples of exotic cases below that were created by investigator in Singapore for patients in different time zones.

Commencement date = 0 days;
first survey due = 0 days;
Case creation time is 8 AM local time today of Mar, 10th in Singapore (UTC+8).
