Survey Statuses

General Overview

In the system, there are four survey statuses:

  • In use - the survey that is in use in the protocol

  • Not in use - the  survey that was in use but at the moment there’s no need for it for a period of time. The data collected from this  survey is still displayed in the reports

The “not in use”  surveys are highlighted gray and marked with a crossed circle

  • Archived - the  survey that was archived with no ability to use its data anywhere in reports

Archived surveys are marked with the circle cross icon and highlighted dark gray  

  • Undefined - the newly added  survey, the status of which is undefined

The  surveys with “undefined” status are highlighted light gray and have a circle-question near it

Changing the Survey Status

All the survey/questions visibility settings are copied while copying the protocol version/custom modification. !!!BUT: changing the visibility status in any of the protocol versions doesn’t affect the visibility status in other protocol versions.

Tip: Use Version switcher to select the required version

  1. Navigate to the Protocols and select the required one
  1. Switch to the required custom modification or stay at the root version if required
  • Hide the unused and archived surveys if required

  1. On the left, select the required survey

  1. Set the required survey status:

  • To set the survey “In use”, click three dots next to the survey and select Set In Use

  • To set the survey “Not in use”,  click three dots next to the survey and select Set Not In Use

  • To archive the survey, click three dots next to the required survey and select Archive

  • To unarchive the survey, click three dots next to the survey and select Unarchive. The survey will automatically be set In use

Data Display/Availability

Undefined surveys are only visible to the inCytes admins. These surveys don’t get into the protocol, can’t be completed, and don’t get into the reports and graphs.

In Use surveys are visible to all users (admins, investigators, patients) in all areas. The surveys can be completed and the data collected are visible in the reports and on the graphs.

Not in use surveys are visible to the inCytes admins. The surveys can’t be completed BUT the data collected is visible in the reports and on the graphs.

Archived surveys are only visible to the inCytes admins. These surveys can’t be completed and therefore don’t get into the reports and graphs.
