How to Find the Full Surveys Within OBERD

The instructions given are for the "Knee" Circle (the examples of the Boston Applied Biologics Circles), but are applicable to all Circles.

Within OBERD, when looking at surveys, make sure you are looking at the surveys for the "Test, RegenMed" patient. You will not need to create this patient - the patient is already created.

To access the surveys used in OBERD follow the steps below:

1.        Go to the “All Registries” tab on the left hand side of the screen.

2.       Identify the study that you wish to copy, then click “View” on the right hand side of the screen that corresponds to the study that you wish to copy.

3.       Click on the “Compliance” tab at the top of the screen.

4.       Using your mouse, left-click on the left-most column within the “Compliance” graph in the middle of your screen.

5.       To see the Promis Survey, click on the red area of the -2 weeks column. To see the ROR Patient Survey, click on the small yellow area in the -2 weeks column. To           see the ROR Physician Form, click on the yellow area of the immediate column.

6.       Scroll down on the page until you see a list of names. These names will be attached to a “Questionnaire” in the 5th column from the left of the table.

7.       In the upper right hand corner of the table, use the “Search Patients” bar to search for “Test”. This should bring up “Test, RegenMed”. Only use the patient “Test,           RegenMed” to look at surveys.

8.       Once you have found the survey that you wish to investigate and copy, go to the far right side of its row in the table and click on the “Actions” dropdown list.

9.       Choose the “Answer” dropdown option. This will allow you to see the questions present in the survey, as well as the potential answers.

Policy

In order to see the structure of the OBERD protocols we may need to create the patient and a case for this patient within OBERD

1. NEVER use the patients from the investigator’s account. We are strictly prohibited

          - to create cases for the patients who exist on the account

          - make any updates to the data for the existing cases

2. If you need to create a patient

  • Notify the account manager that RegenMed team will create the dummy patient on the investigator’s account
  • It is highly recommended to the account manager to agree with the Client on that action
  • Once the approval is received from the account manager, proceed to create the patient clearly defining that the patient is the testing one for RegenMed purposes - e.g. "Test, RegenMed"
  • Once the patient is created, you can create 1 case for each protocol you need to transfer to get the clear understanding of the required structure

Exporting Data from OBERD

Step 1 – Navigate to Data Management

Within the “Registries” page on OBERD,click on the “Data Management” tab on the left hand side of the screen.

Step 2 – Enter Dispatch

Click on the “Dispatch” tab in the center of your screen

Step 3 – Create a New Report

1.     Click on “New Report” in the upper right of the screen

2.    Select the following options on the report builder screen as a default. These may be customized to meet individual study needs.

Long format means that a single patient will have all of their surveys on one Excel line. Wide format means that each time point for each patient will be displayed on a separate line.

3.     Click “Save Report”

Step 4 – Generating and Downloading the Report

1.     Click “+Generate On-Demand Report”

 

2.     Wait for the file to download. In rare occasions, you may need to exit out of OBERD and reload it for the file to fully download.

3.     After the download is complete, click “Download”

4.     Click on “Exclude empty columns from report”. If desired, you may also unclick other check boxes to remove any number of questions or responses from the report.

5.     Click Download
