Monitoring Patient Enrollment Rate

Monitoring Patient Enrollment Rate

  1. Navigate to Circles and select the required one from the list  

2. In the Circle Analytics field, select Compliance and Adherence → PATIENTS  

3. The graph divided into one-week periods will display the statistics on all the patients enrolled into the cases created by all the Circle Members for this Circle.

 

The statistics include only patients with an email and/or mobile phone defined in their contact information and:  

  • joined the platform by invitation/self-enrollment link  
  • enrolled into the active - open or completed  - cases with the case commencement date within the given period. Archived cases are not included.  

You can switch off/on the column on the graph by clicking the corresponding eye icon on the right of the graph.

 

4. Hover your mouse over the required column to see the actual and the expected number of enrolled patients.  

Actual # - all patients joined the platform for the given period including self-enrolled patients + the rate to the expected number.

Expected # - all the patients who are expected to join the platform for the given period as they have commencement date in this period.

For example, looking at the image, we can see that 2 patients have registered, and the expected number of patients to register is 2, resulting in a completion rate of 100%.

The numbers in actual cases are displayed in different colors:  

  •  red if actual number of created cases is 30% less than expected  

  • black if actual number of created cases is less than expected up to 29%  

  • green if actual number of created cases is equal or more than expected  

Special Cases  

  • If a patient with two invitations to two different Circles gets registered to one of them - both cases are marked as enrolled.  
  • A case created for the existing patient is also taken into account for the Patient enrollment rate.  

Monitoring Non-Compliant Patients

To export non-compliant patients:

  1. In the Circle Analytics field, select Compliance and Adherence → PATIENTS

  1. Click EXPORT NON-COMPLIANT PATIENTS at the top right of the Circle Analytics field

  1. Type in or use the calendar icon to pick the starting date of the required period

Period = 1 week (from Monday to Sunday)

If you’d like to export all non-compliant patients till the selected period, check the box Include all non-compliant patients till the selected period.

  1. Click EXPORT STATISTICS.

  1. Feel free to move to any other tab if required. When the report is ready, you’ll see a notification banner at the top of the page.

Clicking VIEW on the banner will take you directly to the Reports tab where you can find your report at the top of the reports list and download it.  

Or you can click CLOSE on the banner to close it and access your report later.

How to Read the Report?

There are two tabs in the downloaded Excel:

  • Non-compliant patients: patients with email and/or phone defined whose case commencement date falls into the filtered period and who has not completed the registration
  • Messages: all messages sent to the patients



Non-compliant patients



In this tab you’ll find the following info:

  • Case ID
  • Patient ID
  • Subscriber ID: the Id of the subscriber who created the case
  • Case Created: the date when the case was created
  • Commencement Date
  • Treatment Date
  • PI Region: patient’s PI region
  • Communication On: the language of patient’s communication
  • Patient Email Added: defines whether the patient's email was added (yes/no)

          *Yes – the email is added

          *No – the phone number is added. Make sure the SMS is switched on for this client

  • Registration Email Delivered At:  the date and time of the registration email delivery
  • Registration Email Opened At: the date and time of the registration email opening
  • Registration Email Clicked At: the date and time when the patient clicked/followed the link in the invitation email  
           If the patient followed the link more than once, the date and time of the last click is displayed
  • Total Reminders sent: the number of reminders sent to the patient





Messages



  • Case Id
  • Patient Id
  • Sent Date: the date and time when the email was sent
  • Message Type: the type of the sent email (e.g., reminder, registration emails)
  • Survey:
  • Delivered At: the time and date the email was delivered
  • Remains empty if the email is bounced
  • Opened At: the time and date the email was opened
  • Remains empty if the email is bounced
  • Clicked At: the time and date the email was clicked
  • Remains empty if the email is bounced
  • Bounced At: the time and date the email was bounced
  • Bounce Reason: the reason the email was bounced.
  • Complain Received At: the date and time when the email was marked as spam by the recepient
