Email Templates in the Admin Panel

There're three types of emails in the admin panel:

  1. System emails (New user notification, Stripe payment failed)
  2. Emails for investigators (Invite team member, Invite Circle member, Invite service provider)
  3. Emails for patient communication (Invite patient, Patient survey reminder/text survey reminder, SMS survey reminder)

Email Template Structure

Each email template consists of the following parts:

  1. Branding
  2. Subject
  3. Email Body with dynamic fields
  • Branding - each email contains the investigator’s logo and background image if they are added to the profile.
    * If there are no images added to the customer’s profile, then circle’s background image and logo will be used
    * If there are no circle’s images, the default inCytes branding will be applied to the email
  • Subject - an email title.
    This is how it looks in the incoming email
  • Body - an email text itself which has to be inserted in HTML format.

*Fields (in the List of Fields) - dynamic data that is pulled from the customers’ profiles.

At the moment we can use the following fields to design the email:
  • FirstName - doctor’s/investigator’s first name
  • LastName - doctor’s/investigator’s last name
  • Credentials - doctor’s/investigator’s credentials
  • Link - link to the patient portal (stays unchanged)
  • BackgroundUrl - background image from investigator’s profile to design the email
  • LogoUrl - logo from investigator’s profile to design the email
  • ClinicianSiteUrl - link to the investigator’s website (or link to the investigator’s social network profile)

Account managers can choose the required fields or use all of them in the email text. Note that dynamic fields must be typed in the curly braces and always in English: {{FirstName}}, {{Credentials}}, {{Link}}. See the default email body as an example.
