Patient Pre-treatment Email Customization

Corresponding Clinician Articles
  • Trigger: sent to the patient if they have not registered after receiving the enrollment email. This reminder is meant to encourage the patient to complete the registration process to gain access to the patient portal and fill in the due survey before coming to the clinician on the treatment date.
  • Customization: either default system email or customized at the protocol version level for each Circle/customer.
  • Supported Dynamic Fields: FirstName, LastName, Credentials,  TeamName, CaseId.
If you choose not to fill in the customizable fields, the default system email will be sent to the patients of the client.
  1. Navigate to the Protocols and switch to the required custom modification
  1. On the left, select Patient Communication
  1. Select PreTreatmentReminder in the dropdown list (and define the required language*)
*If a custom language template is not added, the patient will receive a default language template instead of a custom English one. Therefore, it is important to ensure that the language/s used for patient communication by the client are added to avoid any miscommunication.
  1. On the left, you’ll find two customizable fields: Subject and Body where you are to insert the required texts. Below these fields, there are identical default fields Subject and Body where you can take the texts as an example.

Default Subject and Default Body below the customizable Subject and Body fields are there only for the reference and CAN’T be changed.

Dynamic fields (text in the curly braces) pull the indicated in the curly braces info from the client's profile. The dynamic fields that can be used in the particular template are displayed above the template in the "List of fields". To use any of them, copy the required text from the List of fields and paste it in the curly braces. Each dynamic field must be inserted in the separate curly braces.

  1. Add Subject and Body to the template and click SAVE.
Email body must be in HTML format!

  1. To add an email in other languages, select the required language in the list and repeat the manipulations.  
Note that fields in the curly brackets always stay in English!!!!

  1. After saving the template, it’s strongly recommended to send a test email to check if everything looks well and doesn’t require any changes to be applied. To send a test email:

          a. Click SEND EMAIL at the top right of the screen

         b. Enter your email and click SEND

         c. In your inbox messages find the email from notifications@incytesapp.co and look through the email
