Full Raw Circle Data Report

As a part of our Security Policy, the time and the person exported the report is logged in the system.

inCytes Administrators have access to Circle data, which means they will get data collected by all Сircle members within the Сircle.

How to Export a New Circle Full Raw Data Report

To export data from the Circles with more than 100 cases created, please contact our support team.
  1. Navigate to Circles and select the preferred Circle from the list
  1. Click FULL RAW EXPORT at the top right of the Circle Details Screen
Feel free to move to any other tab if required. When the report is ready, you’ll see a notification banner at the top of the page.

Clicking VIEW on the banner will take you directly to the Reports where you can find your report at the top of the reports list and download it.

You can click CLOSE on the banner to close it and access your report later in the Reports tab.

In the Excel report, you’ll find the information on  

  • each case created for this Circle
  • the Legend to understand the report
  • information on empty cases
  • Based on the Subscriber ID, the admin can monitor who of the investigators which cases created and who has more empty cases
WARNING:
The Full Raw Data Report downloaded from the admin panel DOESN’T include the patients’ PI data regardless of the Circle settings.

How to Download the Existing Report

  1. Navigate to Reports. Here you'll find the table with all the exports ever initiated and some details on each report:
  • Circle name: click the Circle name to go to the Circle Details page
  • Report type: Export Non-compliant Subscribers/ Circle Export/ Basic Usage Statistics, etc.
  • The person initiated the export, the time and the date the export initiated
  • The time and the date the export completed

          *The time is displayed according to the user's local time set on the device

  • The status (Failed, Pending or Ready to download)
  • Action: the button DOWNLOAD activates when the report is ready to download  

Click the arrow near the required column to put the items in the ascending / descending order

Initially, the sorting is applied only to the visible results (about 25 items). To see the whole list, scroll down the page in order to load the rest (missing) items and then sort them.

  1. Click DOWNLOAD next to the required report to download it

How to Read the Report

In the exported report you’ll find three tabs:

The first tab contains Protocol-related data:

Case-related info:

There're several data formats used in the report:

  • general

  • numeric

  • date

  • custom type for mobile phone numbers

  • Case ID  
  • Patient ID*
  • Subscriber ID - the ID of the Subscriber to whom the given case belongs  
  • Patient Last Name*  
  • Patient Middle Name*  
  • Patient First Name*  
  • Birthdate*  
  • Email*  
  • Mobile Number*  
  • Country*  
  • PI Region  
  • Language of Communication  
  • Case Creation Data  
  • Case Commencement Date  
  • Treatment Date  
*The visibility depends on the data ownership settings.

Survey-related info:
  • Survey-related info (the information for each survey):  
  • Scoring group/s scores

         The survey due dates are displayed for both: completed and not completed surveys

  • By whom the survey was completed

The Legend is presented as follows:

The questions in the legend go in the same order as in the protocol.

Empty Cases tab contains the following info:

  • Case Id
  • Patient Id
  • Subscriber Id
  • PI Region
  • Communication On: patient’s preferred language of communication
  • Created: the date when the case was created
  • Commencement Date
  • Treatment Date
