Case Re-creation Guide (for Incytometrist Usage)

  1. Assess the data transferring process: compare the questions and structure of old vs new version of OP:
  • Ensure questions/PROMs of old OP version (not used by new cases) are SET NOT IN USE, for saving and further providing the Customer with the report of collected data for earlier created cases.
  • Newly added questions should be made optional until the end of the data transferring process. This will allow the question to be left blank within the Survey needed for completion.
  1. Join Customer’s account as Team Member and email the customer the following:
  • Share Invite a Team Member support article
  • Provide the email address for invitation, e.g. team.service.incytes@gmail.com
  • Ask the Customer to provide any data for newly added questions if he/she has it “on paper” – to have it for new cases completion
  • Reconfirm newly added questions’ (temporary) optionality status – in case Customer will further enter data himself/herself (see point #1.2 above).
  1. Upload historical cases, i.e., create case in place of those that were created for old OP version, with new OP version for existing patient
  • Set commencement & treatment date one year in advance to ensure patient receives no reminders (e.g., the same date, subsequent year) – this will ensure the reminders won’t be sent to the Patient
  • New case completion methods:
    1) Previously created cases – transfer data from old case to new case by opening different browser tabs and toggling back and forth. This type of moving data is most convenient as the raw report contains scores assigned from PROMs answers, not questionnaire answers, plus a separate Legend Tab with all questions naming
    2) Use “paper” data (if provided)
  1. Export Raw Data Report – to obtain data of both earlier created cases and recreated ones.
Using Report Builder will provide only the particular Circle Member‘s case data, while the Admin’s Raw Report will generate all OP versions and all Member’s data.
  • Generate report for each of the OP Scoring Groups (Y-axis) FYI: all other information will be the same (answers to all questions of the OP).
  • Match & highlight the old and recreated cases in one color in order to provide an accurate report to Customer.
  1. ARCHIVE the SET NOT IN USE content from the old OP version (that won’t be needed for new cases) as the data was saved in the generated report and is not needed for further Customer usage.
  • All survey content, report data and graph display will then be removed from the Clinician Site and Patient Benchmarc
  1. Archive old cases – as these were replaced with new ones.
  2. Adjust commencement and treatment dates to real ones so that the reminders of the latest surveys are sent to patients (follow the points #5, 6 of the upload historical case(s) how-to article).
  3. Report to a Customer. Email:
  • Attach raw data (see point #4)
  • Pay attention: if some of the required questions were made as optional, ask Customer to notify when the data is entered - to remake them as mandatory.
  1. Quit Customer Team. For this Remove Team Member account from Admin Site:
  • Go to Subscribers Tab
  • Enter Customer account (is found in the Search Field)
  • Remove team.service.incytes@gmail.com from the Members list.

Case Re-creation Guide (for Customer Usage)

1. Admin

  1. Make SET NOT IN USE the content of the old OP version (not used by new cases) – for the possibility to save and generate report of collected data for earlier created cases.

  1. Export raw data – to generate report thereby saving data of earlier created cases (see point #1.1. above)
Using Report Builder will provide the only particular Circle Member ‘s cases data, that’s the advantage over Admin’s Raw Report which generate all OP versions and all Members data.

  • Use for new/historical cases completion earlier created/existing cases by opening different tabs - this type of moving data the most convenient as the raw report contains, e.g., for PROMs - scores assigned, not questionnaire answers; and a separate Legend Tab with all questions naming
  • Newly added questions/questionnaires maybe completed using “paper” source (if there are any) OR calling patient to complete survey(s).
  1. Notify Admin when upload is complete – for making the SET NOT IN USE content of the old version of OP as ARCHIVED - as the data saved in the generated report and it’s not needed for further Customer usage.
all this survey content, report data and as well as graph display will be removed from Clinician Site and Patient Benchmarc after that.
  1. Archive old cases – as these were replaced with historical/new ones.
  2. Adjust commencement and treatment dates to real ones so that the reminders of the latest surveys are sent to patients (follow the points #5, 6 of the upload historical case(s) how-to article).
Admin upload is advised if there are no or slight updates of the OP. If there is much of newly added content, mainly, concerning newly added PROMs, etc., - Customer upload is strongly recommended.
