Patient Survey Reminder Customization

  • Trigger: sent when the survey due date comes to remind a patient to complete the survey/task
  • Customization: either system SMS or customized at the protocol version level for each circle/customer and additionally can be different for each follow up delegated to a Patient
  • List of Fields supported: Dr Last Name, Survey Title, Link (navigates to login screen of Benchmark)

Customizing Survey Reminder template:

  1. Navigate to the Protocols and switch to the required custom modification
  2. On the left, select Patient Communication
  1. Select PatientSurveyReminder in the dropdown list (and define the required language)
  1. On the left, you’ll find two customizable fields: Subject and Body where you are to insert the required texts. Below these fields, there are identical default fields Subject and Body where you can take the texts as an example.
Default Subject and Default Body below the customizable Subject and Body fields are there only for the reference and CAN’T be changed.

  1. To add an email in other languages, select the required language in the list and repeat the manipulations. Note that fields in the curly braces always stay in English!!!!
  2. After saving the template, it’s strongly recommended to send a test email to check if everything looks well and doesn’t require any changes to be applied. To send a test email:
  3. Click SEND EMAIL at the top right of the screen
  4. Enter your email and click SEND
  5. In your inbox messages find the email from notifications@incytesapp.co and look through the email
You can set a Survey Reminder for each individual follow-up survey or for specific ones. When a template is added at the survey level, it takes precedence over the template at the protocol level. This means that the template applied to a specific survey will be sent instead of the template added to the overall protocol.

To customize an email template for the particular survey:

  1. Go to the required Protocol and select the required survey
  2. Click SHOW PATIENT COMMUNICATION in the Patient Communication field
  1. Repeat the steps mentioned for Protocol level emails
